and I have my wingman, my sales manager, Mike Dinkelow along with me this morning. 00:01:18
For some time I've been talking to Diana and I've been talking to Susanna, and it's our understanding that the county is 00:01:26

Ways to go from paper records to digital records. 00:01:36

What our company does and how we can get you from paper records. 00:01:46

Here I think it was maybe late October, early November, and we saw just this. 00:02:05
We saw lots of files and heavy books that are hard to find and. 00:02:11
Very difficult to access. 00:02:18
So by having a well thought out plan, our company can help you go from file cabinets and. 00:02:21

So that you have high quality images that are properly indexed and we have the ability and we the experience to work. 00:03:12
With the county officials to figure out what their indexing values are and index them. 00:03:21
And then just as important as getting high quality scanning images. 00:03:27

That is easy to use, not only for your staff. 00:03:36
But for the citizens of your county to easily access your. 00:03:39

So I want to start by explaining to you how the scanning process works. 00:04:12
Here's a diagram here, and I think I've also done handouts so you can refer back to it. 00:04:18
The first step is what you guys have done. You've identified that you have a problem and you need to figure out how to do it. So 00:04:23
you we come and we do physical inventory. 00:04:28
We count paper. We've done that for maybe 6 or 7 departments already. 00:04:34
We put together a pretty detailed quote. 00:04:38
Which we've already done for those 5 or 6 departments and I think Diana maybe has presented the quotes to you. 00:04:42

OK. And then once the quotes are accepted and you guys decide you want to move forward, we sit down and we create a timeline. 00:04:50

Accumulate overnight, so it's not going to go away overnight. So we want to create a timeline that makes sense for you and for 00:05:02
your budget. 00:05:06
We will then send a truck that will come and pick up your files. 00:05:10
Once we pick those files up, we log them into our storage facility in South Bend, IN. 00:05:16
And it's a very detailed process. We put barcodes on every box, every book. 00:05:22
That allows. 00:05:28
Us to track where. 00:05:30
The boxes and the books are in the scanning process. 00:05:32
Once we have everything logged in, we get the process going. We start prepping the documents for scanning, whether that means 00:05:36
taking a. 00:05:40
Mechanical book apart, if we go through the files, we make sure all of the. 00:05:44
Pages are not dog eared. We take out paper clips. We take out sticky notes. 00:05:50
You know, we have a whole process and we have a whole team that's been doing. 00:05:56
The prepping for years. 00:06:00
Once we start, once the prepping. 00:06:01
Is done. We start the document scanning. We use commercial grade equipment. 00:06:04
That automatically kind of adjusts. 00:06:09
For light. 00:06:12
Documents. For darker documents, we take care of the shadows. 00:06:14
We once all the scanning is done. 00:06:18
We go through an inspection process to make sure that we've captured the best image possible. 00:06:20
Then we move on to indexing and. 00:06:26
Like I mentioned before, we meet with each department. 00:06:29
And we decide how they want to look up. 00:06:32

You know, if it's marriage records by bride and groom, by date of marriage, et cetera, we work pretty closely with each department 00:06:36
to decide exactly how they want to make those files. 00:06:42

Once the indexing is done, we do some quality control on the indexing to make sure that we've captured. 00:06:49

And then we you have to decide how we're going to deliver. 00:06:58

We can deliver it on a flash drive and then you can figure out how you're going to access it. 00:07:05
But I want to explain to you what our second step is, and that's the SBS portals. 00:07:10

The other thing I want to mention too that is important is if you decide to have your. 00:07:22
Records destructed. We use a certified company up in South Bend. They come. 00:07:29
Right to our facility and they. 00:07:35

Right on site. So you're we're not transporting your documents anymore. 00:07:42

So far they've done exactly what we've asked and provide us an estimate for those triage departments people that are leaving their 00:14:29

I think that was really just their departments. So we digitized all of ours. So that's why our estimate is so much lower than 00:14:58

We saw lots of files and heavy books that are hard to find and. 00:02:11

The first step is what you guys have done. You've identified that you have a problem and you need to figure out how to do it. So 00:04:23
you we come and we do physical inventory. 00:04:28
We count paper. We've done that for maybe 6 or 7 departments already. 00:04:34
We put together a pretty detailed quote. 00:04:38
Which we've already done for those 5 or 6 departments and I think Diana maybe has presented the quotes to you. 00:04:42

OK. And then once the quotes are accepted and you guys decide you want to move forward, we sit down and we create a timeline. 00:04:50

Accumulate overnight, so it's not going to go away overnight. So we want to create a timeline that makes sense for you and for 00:05:02

We will then send a truck that will come and pick up your files. 00:05:10
Once we pick those files up, we log them into our storage facility in South Bend, IN. 00:05:16
And it's a very detailed process. We put barcodes on every box, every book. 00:05:22

Us to track where. 00:05:30
The boxes and the books are in the scanning process. 00:05:32
Once we have everything logged in, we get the process going. We start prepping the documents for scanning, whether that means 00:05:36
taking a. 00:05:40
Mechanical book apart, if we go through the files, we make sure all of the. 00:05:44
Pages are not dog eared. We take out paper clips. We take out sticky notes. 00:05:50
You know, we have a whole process and we have a whole team that's been doing. 00:05:56
The prepping for years. 00:06:00
Once we start, once the prepping. 00:06:01
Is done. We start the document scanning. We use commercial grade equipment. 00:06:04
That automatically kind of adjusts. 00:06:09
For light. 00:06:12
Documents. For darker documents, we take care of the shadows. 00:06:14
We once all the scanning is done. 00:06:18
We go through an inspection process to make sure that we've captured the best image possible. 00:06:20
Then we move on to indexing and. 00:06:26
Like I mentioned before, we meet with each department. 00:06:29
And we decide how they want to look up. 00:06:32

You know, if it's marriage records by bride and groom, by date of marriage, et cetera, we work pretty closely with each department 00:06:36
to decide exactly how they want to make those files. 00:06:42

Once the indexing is done, we do some quality control on the indexing to make sure that we've captured. 00:06:49

And then we you have to decide how we're going to deliver. 00:06:58

But I want to explain to you what our second step is, and that's the SBS portals. 00:07:10
